Advertisement - At least since the lockdowns in 2020 due to corona, video conferencing has at least become a topic of discussion even at the last company. Most are already using them to communicate with customers and employees they can no longer see face-to-face. I hear from many that a video conference is no substitute for a face-to-face meeting. But I see it differently: you can exchange audiovisual information with people on the other side of the world without having to travel, without having to book a hotel and you can sit on the couch with your family again in the evening. I think this is absolutely brilliant!
But anyone who thinks that video conferencing is easy to implement is wrong. There are a few things to consider.
The planning of the video conference is as important as the implementation itself. That's why you should already make sure that you work and plan as cleanly as possible.
The problem: Often the tools for planning the appointment and the software for the video conference are not from the same manufacturer. Error-prone copying of links, incomplete invitations or similar "jokes" lead to meetings starting too late, participants not being invited or problems with login.
The solution: Software can help, usually as an interface, to establish a meaningful connection between two tools. Notes2conf, for example, helps to use HCL Notes and video conferences of different providers with each other without the frictional losses described above. The tool supports Microsoft Teams, WebEx, Zoom, GoToMeeting and others.
